How to Choose a China Manufacturer: OEM, MOQ and Audit Checklist

Start with the factory, not the product photo

Many online listings reuse stock images or are operated by trading companies rather than factories. Ask for the legal company name, business license, factory address, production photos, main product lines and the name of the person responsible for production. Compare that information with the invoice entity, export documents and factory page so you know who is actually responsible for quality.

Check capability by product category

A factory that is strong at mini excavators may not be the right supplier for canned food or consumer chargers. Separate suppliers by category and evaluate each one against its own certification system: machinery needs test and CE/export documentation, food needs production and health certificates, and chargers need electrical safety and market-specific approvals. Compare OEM and ODM scope

OEM usually means the factory produces to your design or brand requirements; ODM means the factory's existing design can be customized with your logo, color, packaging or specification range. Put the scope in writing: artwork format, sample lead time, sample cost, mold or tooling ownership, packaging specification, label language and the cost impact of different order quantities.

Clarify MOQ and price structure

MOQ is not only the minimum quantity; it also affects unit price, packaging, freight and spare-parts support. Ask for EXW, FOB and CIF comparisons, payment terms, production lead time, and the price at two or three quantity levels. For machinery, a supplier that allows one-unit trial orders is often safer for testing real market demand than one that forces a large first order.

Quality control and export documents

Request an inspection plan: incoming material check, in-process inspection, finished-product test and pre-shipment photos or video. For food and electronics, add batch records, shelf-life data and relevant certificates. Before shipment, confirm the packing list, invoice, bill of lading, origin document, product-specific certificate and manuals. Good export documentation reduces customs delays and makes future reorders repeatable.

A practical buyer checklist
